It is essential that you read the terms and conditions before your departure onto our programme. 
Next of Kin Details
Please fill out your Emergency contact details on your application form to ensure that our Supoort Teams in China are able to reach your Next of Kin in case of emergency. We do not expect our students to ever be in such a situation, but we do require the information as a matter of preparation. 
Medical History
For purposes of Health and Safety, students must inform us before departure of any pre-existing medical conditions and medications currently prescribed in order to be eligible. In no way will participants health conditions affect your eligibility to the programme the information is used to best provide high quality welfare support during your time in China.
Travel Insurance
We require that all students take out travel insurance for the duration of their time in China. AEECIC can arrange this for you if you request as you must ensure you take out a policy, which includes appropriate cover for medical expenses and for your repatriation to your home country in the event of medical need and for loss or damage of belongings. 
Passport, Visa and Immigration Requirements
AEECIC is not responsible if you cannot travel because you have not complied with any passport requirements. 
Visa application assistant is included in the cost of your chosen programme, however it excludes the price of the visa fee (£85). Our visa application service saves you valuable time, and this includes consultation and visa advice with our visa expert team, the pre-checking of applications before presentation, and ensuring both the delivery and collection of applications to and from the Chinese Embassy or Chinese Visa Application Services Centre of your behalf. 
For mainland China, you must get a visa prior to arrival, including Hainan Island. If your stay in China is over six months, you must produce a health certificate, which includes a blood test for HIV, legalized by the Chinese Embassy.There are two types of student visas which you must obtain before studying abroad: X1 – issued to those intending to study in China for a period of more than 180 days, and X2 – issued to those intending to study in China for a period of no more than 180 days
Flights are not included in any of the programme prices. If you want any help or advice booking flights then please get in touch with us directly. We can arrange flights for you, for a small fee. 
Please note that in order to recieve airport pick up services you will need to ensure that your flight arrives into the respective airport dependent on your programme location between the hours of 9am and 9pm. 
Once you have successfully booked your flights please make sure to send through a copy of your flight itinerary. 
This is very important so that we can coordinate your arrival with the team in China and organise your airport pickup service. You need to send us your flight details at least two weeks before your programme start date. If we recieve your flight information after this date then we will not be able to guarantee your airport pickup services. 
We reserve the right to alter the prices of any of the holidays shown in any of our marketing materials. You will be advised of the current price of the holiday that you wish to book before your contract is confirmed. A non re-fundable deposit must be made 1 week after your formal confirmation from your chosen programme to secure your place. This is £300. The remainder of the cost is due at least 6 weeks before you depart. If the deposit and/or your balance is not paid in time, we shall cancel your travel arrangements. 
We reserve the right to ask you to leave
AEECIC reserves the right to terminate your trip at any point without refund should your behaviour be deemed:
- Offensive or threatening.
- Contravening local laws.
- In breach of our terms and conditions.
Excursions or other tours that you may choose to book or pay for whilst you are on holiday are not part of your package holiday provided by AEECIC. For any excursion or other tour that you book, your contract will be with the operator of the excursion or tour and not with us. We are not responsible for the provision of the excursion or tour or for anything that happens during the course of its provision by the operator.
Promotions and offers:
AEECIC reserves the right to alter or discontinue any promotions or special offers at any point up until deposit for a trip has been received. Any promotional offers only apply to new bookings. Bookings are defined as deposits paid if you have booked directly with AEECIC. A new booking is deemed to be a booking, which we have not already received a deposit for.
If You Have A Complaint
If you have a problem during your holiday, please inform the relevant supplier (e.g. your hostel, your activity provider, your transportation) and your tour Adventure Leader immediately who will endeavour to put things right. If your complaint is not resolved locally, please follow this up within 28 days after your trip finishes by writing an email to This email address is being protected from spambots. You need JavaScript enabled to view it. with your booking reference number, name, and the specifics of your complaint. If you fail to follow this simple procedure we will have been deprived of the opportunity to investigate and rectify your complaint and this may affect your rights under this contract.
If You Change Your Booking
We are not obliged to accept any change of departure date, or any other changes to your booking once we have confirmed your place.
If We Change or Cancel Your Holiday
It is unlikely that we will have to make any changes to your travel arrangements. Occasionally, we may have to make changes and we reserve the right to do so at any time. We will strive to keep changes minor and we will advise you of them at the earliest possible date. We also reserve the right in any circumstance to cancel your travel arrangements if 30 days or more in advance from the scheduled trip departure date. We will not cancel your travel arrangements less than 30 days before your departure date, except for reasons of force majeure or failure by you to pay the final balance. If we are unable to provide the booked travel arrangements, you can either have a refund of all monies paid or accept an offer of alternative travel arrangements of comparable standard from us, if available (we will refund any price difference if the alternative is of a lower value).
